Credit Card Settings
The Customer Card carries two fields that control corporate card settlement. Together they decide whether the customer's posted invoices and credit memos are sent to a card provider, and how the provider matches them.
Credit Card Provider
The Credit Card Provider field says which card program the customer uses:
| Option | Meaning |
|---|---|
| None (Invoice) | No card settlement. The customer is invoiced in the normal way and nothing is sent to a card provider. |
| FirstCard | The customer settles through FirstCard. Posted documents are included in FirstCard settlement. |
| Diners | The customer settles through Diners Club. Posted documents are included in Diners settlement. |
To set it, open the Customer Card, scroll to the bottom of the General FastTab and select the option in Credit Card Provider.
On the Order
Each sales order carries its own Credit Card Provider, copied from the customer. On orders created from a booking import the field is locked -- it shows the value but you cannot change it. That keeps the order in step with the booking and the customer agreement.
On an order where the field can be edited, it must still match the customer: if you pick a provider the customer does not use, or the customer has no card number, you get a message and the change is refused.
Credit Card Number
Credit Card No. holds the customer's card number. It is used to match the transaction at the card provider during settlement.
Only the display is masked: after you leave the field, the card shows as asterisks plus the last four digits. The full number is what you type in and what is stored and used for matching -- so type the complete number. Anything shorter than five characters is rejected.
To change the card, simply type the new number over the masked value.
What Gets Settled
Settlement is based on posted documents:
- Posted sales invoices and posted credit memos
- with a Credit Card Provider other than None (Invoice)
- that are still waiting to be sent
Credit memos -- including manual refunds -- are part of the settlement just like invoices, so a refund reaches the card provider the same way a charge does. Open sales orders are never sent; nothing happens until the document is posted.
