Hotel Commissions
For hotel bookings with a commissionable rate, Travel Business Connector books the expected commission from the hotel automatically when the invoice is posted. This page explains where you can see those amounts and how they will be reconciled against actual payouts.
How commission is calculated
When a hotel booking is imported, the system recognizes commissionable rates from the booking data and calculates the expected commission:
- The rate is normally the standard percentage set up for the rate type. When the booking itself specifies a rate (some hotel agreements vary per hotel), that booking-specific rate is used instead.
- The base is the hotel price excluding the hotel's VAT — the same base regardless of company or accounting model.
On the sales order and the posted invoice, each hotel line shows the commission fields: Commission Code, Commission Amount, and (via personalization) Commission %, Commission Base Amount and Commission Source. The Commission Source tells you whether the standard rate (Default) or a booking-specific rate (Parsed) was used.
The commission ledger
Every posted commission also creates an entry in the commission ledger. Search for AIR Commission Ledger Entries to open it.
Each entry shows the booking reference, hotel, invoice number, rate, base and amount, along with a Status:
| Status | Meaning |
|---|---|
| Open | The commission is booked but the payout from the hotel has not been matched yet |
| Settled | The payout has been received and matched |
| Written Off | The commission will not be collected |
If an invoice is credited, a negative entry is added and linked to the original, so the remaining open amount per booking is always visible.
The ledger is the foundation for commission reconciliation — matching hotel payouts against booked commissions. The reconciliation worksheet that updates the Settled/Written Off statuses is coming in a later version; until then the ledger collects the complete history so nothing is lost.
